RIZE Massachusetts Foundation (RIZE), launched in 2017, is the only public-private partnership dedicated to funding and collaborating on solutions to end the overdose crisis. In 2024, the Healey-Driscoll Administration selected RIZE to create and manage Mosaic Opioid Recovery Partnership (Mosaic). Funded by the MA Opioid Recovery and Remediation Fund and the MA Department of Public Health, Bureau of Substance Addiction Services, Mosaic is a unique public-private partnership that allows small, community-based organizations and municipalities to apply for settlement funds. It is specifically designed to support communities and populations that have been historically underserved and have experienced a higher rate of opioid-related overdose deaths. Mosaic is community-led and culturally responsive, aimed at reaching individuals and families affected by the opioid overdose epidemic. The grants, approximately $5 million annually, strengthen prevention, harm reduction, treatment, recovery, trauma, and family support programs.
Position Summary
The Program Coordinator will provide essential support to the Senior Program Officer (SPO) in developing and managing an innovative hub-and-spoke training and technical assistance (TTA) model designed to empower municipalities to use opioid settlement funds effectively. This role calls for collaboration with diverse stakeholders, including municipalities, community organizations, and people with lived and living experience (PWLLE), to ensure the successful implementation of transformative public health strategies in accordance with the State-Subdivision Agreement guidelines.
The coordinator will support the program’s operations by maintaining the Salesforce database, ensuring that records and contacts are current, tracking progress and milestone dates, and preparing internal reports. The coordinator will also be key in organizing training sessions, workshops, and webinars that align with the program’s objectives. This position requires strong organizational skills, a commitment to community engagement, and the ability to support program operations in a dynamic and fast-paced environment.
In addition to supporting the SPO, this position will assist the Chief Program Officer (CPO) by managing and maintaining the CPO’s calendar, arranging meetings, and maintaining the organizational master calendar for the program team.
Participation in internal and external meetings and engagement with municipalities, stakeholders, and vendors are required. The role also supports RIZE’s culture and values by aligning outcomes, practices, and communications with the organization’s mission. This includes attending all staff meetings, required training, and organizational events, contributing to RIZE’s overall functioning, and assisting with general office duties, such as staffing and logistics for in-person and virtual events.
A key requirement is proficiency in applications such as Salesforce, Asana, Microsoft Office 365, Adobe, virtual conferencing software (Zoom, Microsoft Teams), WordPress, Constant Contact, and others. The coordinator is expected to manage a dynamic workload, submit expense reports and time sheets within stipulated deadlines, and demonstrate strong organizational skills, a commitment to community engagement, and the ability to support program operations in a fast-paced environment. This position reports to the SPO and demands an organized self-starter capable of prioritizing and managing multiple projects.
Key Responsibilities:
- Support the program’s overall operations. Maintain the Salesforce database, ensure records and contacts are current, track progress and milestone dates, and prepare internal reports.
- Serve as the initial point of contact for inquiries regarding the TTA program, monitor the TTA inbox, and route requests to the appropriate party.
- Assist in developing and implementing systems, processes, and tools to enhance program management based on best practices. Track workflow and calendar for the TTA team using Asana.
- Create compelling training materials and resources using Canva, PowerPoint, or other tools that align with program goals and address the needs of municipalities and communities. Organize training sessions, workshops, and webinars.
- Provide administrative support for regional community advisory boards that represent diverse voices, including individuals and families affected by opioid use disorder. Help coordinate outreach efforts with partner organizations.
- Assist with scheduling and preparing agendas, materials, communications, and presentations for various meetings.
This position will support the Chief Program Officer (CPO) as needed and in the following ways:
- Manage and maintain the calendar, arrange meetings/itineraries for the CPO, and maintain the organizational master calendar for the program team.
- Provide administrative support and prepare the CPO for meetings.
- Attend all staff meetings, required training, and organizational events while contributing to the overall functioning of RIZE.
- Assist with general office duties, such as staffing and logistics for in-person and virtual events, and perform other tasks as assigned.
- Submit expense reports and timesheets within the stipulated deadlines.
- Support RIZE’s culture and values by aligning outcomes, practices, and communications with the organization’s mission.
Qualifications
- A bachelor’s degree in public health, social work, business, or a related field is preferred.
- Prior experience in program coordination, community engagement, or project management is highly desirable.
- Demonstrated operational and systems management skills.
- Experience working in non-profit organizations or philanthropic institutions, or a strong desire to learn more about the sector.
- Proficiency in or capability of adopting new software, including Salesforce (and other relational databases), Asana (and other project management tools), Adobe Acrobat, Microsoft Suite, WordPress, JotForm, and video conferencing/calling.
- Strong organizational skills with the ability to manage multiple tasks effectively in a fast-paced environment.
- Excellent written and verbal communication skills.
- A passion for improving community health and a commitment to equity and inclusion.
- Ability to work collaboratively with diverse populations and stakeholders.
The program coordinator is a full-time, hybrid role. RIZE is in downtown Boston, and occasional travel, primarily in-state, will be required for meetings and events as needed. This role may require evening and occasional weekend work.
